Adding Checkboxes to a Template

Place checkboxes on a template, group the ones that belong to the same question, and set a validation rule so recipients tick the right number of boxes.

Many forms ask the signer to tick one of several options. An entry notice, for example, asks whether the person giving notice is the property owner, the property manager or another authorised person — and only one of those should be ticked. Checkboxes on a template handle this: place a checkbox over each option, group them, and set a validation rule so the recipient can only select the number of boxes the form allows.

Create the template and add your usual fields

Navigate to Templates, click Create and upload your file — in this example, an entry notice. Add your roles, then click Prepare documents, select the role from the dropdown and place your normal fields: text, signature and date.

Place the checkboxes

Select Checkbox from the field list and drop one onto each box on the form. Place them exactly as you would any other field — one checkbox per option the recipient could tick.

Group the checkboxes together

Highlight all of the checkboxes that belong to the same question, then in the sidebar on the right choose Group checkboxes. Grouping tells SearchX eSigning the boxes are related, which unlocks the validation options.

Set the validation

With the group selected, choose a validation rule:

  • Exactly — the recipient must tick exactly this many boxes.
  • Minimum — the recipient must tick at least this many.
  • Maximum — the recipient cannot tick more than this many.

For the entry notice, set the validation to Exactly 1. When the envelope is sent, the recipient will only be able to select one of property owner, property manager or other authorised person. If your form needs two boxes ticked, set a minimum of two instead — or a maximum of two or three, however many the form allows.

Save the template

Finish the template details and click Save template. Every envelope sent from the template carries the grouped checkboxes and their validation rule, so your team never has to set them up again.
